EPA is the final assessment of the apprenticeship journey, providing an impartial evaluation that is separate from the employer and training provider. This ensures that apprentices meet all assessment requirements and are fully prepared for their professional careers. Therefore, it is important to find an end-point assessment provider that meets all the necessary standards. How easy is it to switch to Gateway Qualifications?

Switching to us is straightforward. If your apprentice is already ready for Gateway, we only require a signed Gateway Declaration and any necessary authenticity signatures for their work. You won’t need to redo paperwork or repeat previous steps.

Our Business Development Manager will handle the contractual side quickly and smoothly, and we’ll fully support you in using EPA Pro, getting apprentices set up, and guiding you through the process.

If you’re not in a rush, we can take it at a steadier pace, the switch is still simple either way.

How soon do I need to register my apprentices with Gateway Qualifications?

We ask that you register apprentices as early as possible for several reasons:

  • Access to resources: Once registered, apprentices can be given access to EPA Pro and begin using the available resources immediately.
  • Welcome and onboarding: We can send a welcome email and provide key information and resources via our website (really useful if the apprentice is not using EPA Pro).
  • Assessment planning: Early registration helps us plan capacity in advance, ensuring we can meet your needs and support the apprentice to complete assessments as soon as they are eligible.
What evidence is required at Gateway?

It varies depending on the standard, but for each standard, we require a Gateway Declaration and Authentication Statement (GDaAS), which is a signed document by the provider, employer and apprentice. We have provided one of these for each standard and within it is a list of all other documents to be submitted at Gateway.

English and Maths evidence requirements at Gateway depend on the apprentice’s age at the start of their apprenticeship; this is detailed in the GDaAS.

Can apprentices use AI in their work?

Yes and No, we recommend you read our Artificial Intelligence (AI) and use in Assessment Principles. 

We appreciate that some roles require the apprentice to use AI applications to complete the activity being undertaken. Where this occurs, we require that the apprentice cite their source, and the purpose for use of AI is recorded within the relevant mapping document, and possibly the evidence if relevant to the context of the evidence. 

How do I log into EPA Pro?

If you have previously had a login set up, you can go to gwq.epapro.co.uk/login and log in with your email. Use the “forgotten your password?” link on epaPRO if you are unsure of what this is.

If you have never logged in to a Gateway Qualifications-issued account, please contact the team for on-the-spot assistance, as you may not need a login or an account.

Who is invited and who should attend a planning meeting?

We invite the apprentice, and it is important that they attend to meet their assessor and understand the whole EPA journey. They also have the opportunity to ask questions.  

We invite the line manager or mentor who is recorded on the apprentice’s record. They do not have to attend, but it is beneficial to all if they do, or if another representative does, to aid in confirming the dates and times for booking the assessments and to ensure they are comfortable with the EPA journey and their role. It is particularly important where we need to come and complete face-to-face assessments, as we will need to confirm Health and Safety and security requirements.  

The training provider, usually the tutor/trainer/assessor is invited but does not need to attend, it is purely for information purposes, however, are more than welcome to attend. 

What happens if the apprentice needs to change, postpone or cancel the planning meeting or any of their assessments?

We operate a cancellation policy at Gateway Qualifications, which can be found in our price list; however, we understand that circumstances may fall outside of this, and they will be handled on a case-by-case basis.  

The important thing to note is to contact us as soon as possible to advise that the meeting/assessment cannot take place as planned, and the reason for this. We will then facilitate a rebooking as soon as possible.  

Do you provide the apprentice with feedback?

Yes, no matter the grade, we provide feedback. Naturally, if the apprentice did not pass, we could not provide feedback that would help them pass the resit, but we would direct them to the areas not yet passed and the grading descriptors. We will also provide feedback on areas met.  

Our feedback relates only to the assessment criteria and performance against them. 

Apprentice FAQs
How can I check the date and time of my planning meeting?

You will be sent an invitation via the assessor’s Outlook calendar. Once you accept this, it will populate in your calendar. If you decline, it will disappear and come back to us as declined, and we will contact you. If you do not click accept, it will still sit in your calendar just as a slightly faded-out event.

If, for any reason, you cannot find it in your calendar, give us a call or email, and we will be able to tell you when it is and resend the invite if needed, as it will have the Teams link to join the meeting.
